As COVID-19 restrictions ease, the responsibility of businesses to limit and keep records of customers is paramount. If an outbreak occurs, technology is key in quickly identifying individuals at risk.

In this discussion, we provide a free solution for businesses looking to easily digitally transform their record keeping processes.



This solution provides:

  • A form (web page) specific to your business for patrons to check-in

  • A calendar to identify patron numbers throughout the day

  • An event receipt and countdown timer for patrons to check whether they have exceeded a time limit

  • A printable instructional QR code page for your venue



  • Easy search and reporting facilities

Instructions:

  1. If not already done, register a new environment for your business. Otherwise, sign into eservicemanager.

  2. After signing into eservicemanager as an Administrator, click on the left menu, then select Resources, Calendars, then click the Add button.

  3. Provide a name for your new calendar, for example 'Safe Check-Ins', and ensure only Allow Bookings is checked.

  4. Click Save when your have entered all your calendar details.

  5. Click the Share button to produce a unique URL for your calendar. From the URL, you will need to extract and copy the calendar ID.

    You will need this ID later on.

  6. Click on the left menu, select New, then Location.

  7. A new Location record appears. Provide details of the location your patrons will be registering against. Once you have completed the details, click on the Save button. Your new location record will be saved and assigned a new ID number. You will need this ID later on.

  8. Next, download the ZIP file attached to this discussion. It contains code you can copy into a new web style and web page.

  9. Click on the left menu, then select Administration, Designer Toolbox, Web Styles, then click the Add button.

  10. Provide a name for your new web style, for example 'Safe Check-In', and ensure Public is checked.

  11. Click Save when you have entered all your web style details.

  12. Click Edit CSS to the right of the web style you just created. Open the downloaded file with the CSS extension and copy the contents into the provided editor, then click Save.

  13. Click on the left menu, then select Administration, Designer Toolbox, Web Pages, then click the Add button.

  14. Provide a name for your new web page, for example 'Safe Check-In', ensure Public and OOTB Includes are checked, and the Web Style is populated with the name you provided in step 10.

  15. Click Save when you have entered all your web page details.

  16. Click Edit Page to the right of the web page you just created. When the web page editor opens, click on the Import button on the toolbar. Open the downloaded file with the HTML extension and copy the contents into the provided editor.

  17. In the HTML code, find and replace the following with the ID you previously noted from step 7, where X must be your location ID.

  18. Click the Import button when you're ready. The web page should populate and display the pre-coded form. Click the Save button on the toolbar.

  19. Back in the Web Pages tab, click on the Share button against the new web page you just created. This will provide a unique URL to the web page. Try opening the link into a new browser window. Take note of the page name that is allocated to use later on.

    pagename = your web page name

  20. The final step is to run a report to produce a printable instructional QR code page to advertise at your venue. Click on the left menu, then select Resources, then Reports.

  21. In the list of shared reports, find one named Web Pages - COVID-Safe QR Code, and open it.

  22. Click on the filter button at the top right side of the report. You must supply two parameters (Page name and Calendar ID) in order to produce an accurate QR code on the report.

  23. Once you have entered the two parameters, click the Submit button. An updated report will be produced with the accurate QR code to your new check-in form.

    Your digital check-in form is ready to go! You may save or print the resulting document for use in your business.
